
Booking, Cancellation & Waitlist Policy
ARTheatre Arts (ARTS)
This policy explains how bookings, payments, cancellations, discounts and waiting lists operate at ARTheatre Arts. By booking a class, tuition session or payment plan with ARTS, you agree to the terms below.

1. Bookings & Payments
Places at ARTS are subject to availability and the stated capacity of each class.
A booking is confirmed once the appropriate booking and payment process has been completed. Where a monthly payment plan is used, payments will be collected according to the schedule shown at the time of purchase.
Monthly fees reserve a student's place in their chosen class and are calculated according to the relevant term and payment plan. They are not calculated according to individual attendance.
Parents and guardians are responsible for ensuring that the correct class and payment option are selected when booking.
2. Sibling & Multi-Class Discounts
ARTS offers discounts to households booking more than one eligible class. This applies whether one student attends multiple classes, siblings attend different classes, or a combination of both.
The discount structure is:
First qualifying class — Full Price
First additional eligible class — 10% Discount
Second and subsequent additional eligible classes — 20% Discount
Where a Saturday class is booked, this should normally be selected as the household's full-price qualifying class.
Where no Saturday class is taken, another qualifying full-price plan may be used as the household's first booking.
Discounts apply to eligible additional classes within the same household.
1:1 private tuition is not included in the sibling or multi-class discount scheme.
Discounted plans are offered on an honesty basis. Please select only the rate that correctly reflects the bookings within your household.
ARTS reserves the right to review bookings and amend an incorrectly selected payment plan or discount. Where we believe the wrong rate has been selected, we will contact you and arrange for the booking to be corrected.
3. Cancelling an Ongoing Class
We require one full calendar month's written notice to cancel an ongoing class place or associated payment plan.
This notice period allows us time to offer the place to another student and for any scheduled monthly recurring payment to be processed correctly.
Any payment falling due during the notice period remains payable, and the student may continue attending their class during that period.

Stopping attendance does not constitute cancellation. Cancelling or stopping a monthly recurring payment without notifying ARTS does not cancel the student's class place or remove any outstanding payment obligation.
4. Missed Classes & Refunds
Monthly fees reserve a student's place in their class.
Refunds or reductions are therefore not normally provided for sessions missed due to illness, holidays, school commitments or other personal circumstances.
Where exceptional circumstances arise, please speak to us. ARTS may consider individual situations at its discretion.
5. 1:1 Private Tuition – Cancellation & Rescheduling
1:1 private tuition is booked separately from group classes and is not included in the sibling or multi-class discount scheme.
We require a minimum of 48 hours' notice if you need to cancel or rearrange a 1:1 session. Where at least 48 hours' notice is provided, we will make reasonable efforts to rearrange the session, subject to tutor availability.
Sessions cancelled with less than 48 hours' notice, or missed without notice, will normally remain chargeable.
We understand that genuine emergencies happen. Where circumstances are genuinely unavoidable, ARTS may waive or amend the cancellation charge at its discretion.
6. Waiting Lists & Class Capacity
Class capacities are set to ensure that sessions remain safe, appropriately staffed and provide a good experience for every student.
Once a class reaches its stated capacity, we will not routinely accept additional students into that class.
Students may instead be added to a waiting list and will be offered a place when one becomes available.
Where appropriate, students on a waiting list may also be offered a place in another suitable ARTS class with current availability — for example, another weekday, musical theatre or aerial class.
Accepting an alternative class does not automatically remove a student from the waiting list for their preferred class unless requested.
Waiting-list places will be offered according to suitability and availability. ARTS reserves the right to consider factors such as age, class level and the needs of the existing group when allocating places.
7. Changes or Cancellations by ARTS
Occasionally, ARTS may need to change a class time, tutor, room or other arrangements due to circumstances outside our reasonable control.
Where possible, we will give families as much notice as we reasonably can.
If ARTS cancels a paid session and is unable to provide a suitable replacement or alternative, an appropriate credit, rearranged session or refund will be offered where applicable.
8. Fair Use of Discounted Plans
Our sibling and multi-class discounts are designed to make attending multiple ARTS classes more affordable for our families.
We therefore ask families to use the payment options fairly and select the plan that genuinely applies to their household.
ARTS may monitor bookings to ensure discounts are being used correctly.
If a discounted plan has been selected incorrectly, we reserve the right to amend the booking to the appropriate rate and contact the account holder regarding any necessary adjustment.
Repeated or deliberate misuse of discounted payment plans may result in discounted booking options being withdrawn from the relevant account.
